This policy explains the before-go-live refund window, subscription charges, renewals, cancellations, duplicate payments, payment errors and refund requests are handled on ClassWaze. It is intended to make the commercial terms clear while preserving any rights that cannot lawfully be excluded.

This policy applies to paid subscriptions and other paid services offered by the platform through its official website or authorised payment flow. It should be read together with the applicable Terms of Service, Privacy Policy and the plan, order or checkout information shown to you.
If a separate written commercial agreement, invoice term or mandatory legal requirement applies to a transaction, that specific requirement will govern to the extent it lawfully conflicts with this policy.
2. Subscription charges and checkout
Subscription fees are charged for the plan and billing period selected by the customer. Before a payment is confirmed, the applicable payment screen is intended to identify the selected plan, billing period and amount payable.
Customers are responsible for reviewing the selected plan, billing period, account details and final payable amount before confirming a transaction.
3. Renewals and cancellation
Where a subscription is configured to renew, the renewal is subject to the applicable plan terms and the payment method or payment provider used for the transaction.
A customer may request cancellation through the cancellation mechanism made available by the platform or by contacting support. Cancellation and refund are separate matters: cancelling a subscription does not automatically create a refund for a period that has already been paid for, unless the applicable terms or law provide otherwise.
4. Subscription expiry, domain release & retention
A subscription that reaches its period end without successful renewal becomes inactive. A configured renewal grace period then applies before the connected domain is released. The current default grace period is 14 days, subject to the period shown in the customer's applicable account or notice.
If the customer does not renew within that grace period, the connected domain may be automatically released or its ClassWaze mapping disabled. Domain release is not a refund event and does not create a right to recover the same domain later; domain availability may change after release.
Customer account data is not automatically deleted when the domain is released. The current default retention period is 90 days from the domain-release/retention-start milestone. When the retention period expires, the account may become eligible for permanent deletion under the published Privacy Policy and Terms. Permanent deletion requires an authorised review and explicit confirmation; it is not an automatic refund or cancellation mechanism.
5. Refund eligibility before your platform goes live
For a customer/tenant subscription purchased to set up and operate a ClassWaze-powered platform, the primary refund window is linked to the platform's go-live status.
Before the customer's platform/site is live: if the customer has not yet taken the platform/site live, the customer may request a refund of the applicable subscription payment, subject to transaction verification and any mandatory legal requirements. The platform may first verify the account, payment and current deployment/status records.
After the customer's platform/site is live: once the customer's platform/site has been taken live and made available for actual use, the subscription is treated as a live service. A refund will generally not be available merely because the customer later changes their mind, does not use the service, does not achieve expected sales/results, or is dissatisfied with a service that is otherwise being provided according to the selected plan.
This go-live rule does not remove any refund, cancellation, consumer, statutory or other mandatory right that cannot lawfully be excluded, and it does not prevent correction of a verified duplicate, erroneous or unauthorised charge.
6. After go-live: subscription is generally non-refundable
Once the customer's platform/site is live, subscription fees are generally non-refundable for the remainder of the purchased billing period. This includes cases where the customer does not use the platform, uses it less than expected, changes their mind, does not generate expected sales or results, or later decides that another plan or solution would be preferable.
This restriction applies to ordinary commercial refund requests only. It does not prevent refunds or other remedies that are required by applicable law, nor does it prevent review of a verified duplicate charge, billing error, unauthorised transaction or other genuine payment-processing issue.
A request involving misuse, fraud, unauthorised activity, policy violations or materially inaccurate information may be subject to additional verification before any decision is made.
7. Free trials, promotional access and extensions
Where the platform offers a free trial, promotional period, complimentary plan access or an authorised subscription extension, the specific duration and conditions communicated for that offer apply.
Promotional or complimentary access does not, by itself, create a right to a cash refund or monetary credit for the complimentary period unless expressly stated or required by law. If a promotion includes a paid renewal after the promotional period, the applicable checkout or offer terms govern that renewal.
8. Duplicate, incorrect or unexpected payments
If you believe you were charged twice, charged the wrong amount, or charged for a transaction you did not intend to make, contact support as soon as reasonably possible with the account email, transaction/order reference, date, amount and a short explanation.
9. Chargebacks, bank disputes and payment-provider disputes
A customer may have dispute rights through their bank, card network or payment provider. Where a transaction is disputed through such a channel, the transaction may be handled under that provider's dispute process in addition to any review by the platform.
The platform may retain and provide transaction, subscription and account records reasonably necessary to investigate, prevent fraud or respond to a legitimate payment dispute, subject to applicable law and privacy obligations.
10. Refund approval and processing
A refund is treated as approved only after the platform completes its review and confirms the applicable refund action. Where approved, the refund will normally be initiated through the relevant payment channel or payment provider.
The time for refunded funds to appear can depend on the payment provider, bank, card network, UPI/payment rail or other financial institution. A delay after a refund has been initiated does not necessarily mean that the refund has been rejected.
11. Partial refunds, credits and taxes
Where legally and commercially appropriate, the platform may determine whether the remedy is a full refund, partial refund, account credit or another permitted resolution. No credit or alternative remedy is promised unless it is expressly approved.
The treatment of taxes, payment-provider charges and third-party fees may depend on the transaction, the reason for the refund and applicable law. Any amount actually refundable will be determined after transaction review.
12. How to request a refund review
Use the official platform contact channel and provide enough information for the transaction to be located, such as:
- account email or registered business/customer details;
- order, invoice or payment reference, where available;
- transaction date and amount;
- selected plan/billing period, where relevant; and
- a concise explanation of the issue and the resolution requested.
We may request additional non-sensitive information reasonably required to verify the transaction. Do not send sensitive authentication credentials or complete payment-card credentials.
13. Verification, fraud prevention and account protection
To protect customers and the platform, refund requests may be subject to reasonable transaction and account verification. The platform may delay, decline or escalate a request where there are reasonable indicators of fraud, unauthorised access, payment abuse or materially inconsistent information, subject to applicable law.
This does not limit any mandatory rights available to a customer under applicable consumer, payment or other law.
14. Statutory rights and applicable law
Nothing in this policy is intended to exclude, restrict or waive a consumer, contractual or statutory right that cannot lawfully be excluded or restricted. If applicable law provides a mandatory refund, cancellation, disclosure or dispute right, that legal requirement will apply to the extent required.
Any governing-law or jurisdiction provision applicable to the customer's agreement with the platform should be read from the current Terms of Service and other applicable contractual documents rather than inferred from this refund policy alone.
15. Policy updates
The platform may update this policy when its products, payment processes, commercial terms or legal requirements change. The current version published on the official platform website will apply to future transactions, subject to any rights or terms that must continue to govern an earlier transaction.
